Human Resources Administrator [Ireland]

SCOPE OF WORK:

  • To ensure the smooth and efficient implementation of HR roles and responsibilities with your main focus assisting with Recruitment


MAIN DUTIES AND RESPONSIBILITIES:

  • Main focus assisting with Recruitment duties
  • Providing customer service to employees by attending to their questions and requests.
  • Provide clerical and administrative support to Human Resources colleagues.
  • Processing incoming mail
  • Creating and distributing documents (creating P.O’s, ordering/inventory of uniforms, etc.)
  • Maintaining computer system by updating and entering data
  • Provides secretarial support by entering, formatting, and printing information; organising work; answering the telephone; relaying messages; maintaining equipment and supplies.
  • Maintains employee confidence and protects operations by keeping human resource information confidential.
  • Assists in coordinating HR projects such as birthday lunches, annual staff parties, etc.
  • Participating in recruitment efforts
  • Scheduling job interviews and assisting in interview process if requested
  • Serving as a point person for all new employee questions
  • Performing file audits to ensure that all required employee documentation is collected and maintained
  • Upload Starter Forms, Leaver Forms, Pay Rise Forms to the system every week.
  • Submit to Payroll details of Internal Promotion (new ROP/ Job Title/ Effective date)
  • Send Birthday Forms to new team members and update bday details on Workvivo and TMS.
  • Maintain, order and carry-out monthly inventory of uniforms and other HR supplies.
  • Maintain updated list and issue designated lockers to new team members.
  • Monitor Employee of the Month, Shared Services Employee of the quarter winners. Send link and prepare chosen vouchers to handover to GM.
  • Prepare Purchasing Order Numbers for all invoices and send to Accounts. Update expense list.
  • Set-up/Input Trigon’s new Team member/s into the LMS (learning Management System) & issue the relevant training bundle to the new Team member/s.
  • E-mail new Team member/s their access & log-in details to their LMS/training profile
